Reservations & Before Arrival

  1. By booking with Cabins in Broken Bow, online or by phone, you agree to our policies.
  2. Deposit Required: depending on cabin $100 – $500 NON – Refundable.
  3. Cabins in Broken Bow only takes one (1) credit card per booking.
  4. Two-night minimum stay required
  5. Holiday dates require 3 nights minimum.
  6. Thanksgiving requires a 4-night minimum.
  7. Check-in and Check-out are not permitted on Thanksgiving or Christmas Day.
    • 2024 holiday dates are defined as
      • Spring Break 3/6 to 3/30
      • Solar Eclipse 4/6 to 4/10
      • Memorial Day 5/23 to 5/28
      • Fourth of July 7/2 to 7/8
      • Labor Day 8/29 to 9/3
      • Thanksgiving 11/25 to 12/1
      • Christmas/New Years 12/20 to 1/2/2025

  8. One night stays are considered depending on the cabin and the date. Call the office to reserve a one night stay on the day of said stay.
  9. Checking in before 4 pm or checking out after 11 am, without prior permission, will incur an additional FEE of $100 per hour.
    • Please note, early check-in can only be determinedthe morning of arrival and late checkout is not permitted.
    • If our cleaners arrive at 11 am (check out time) and find your personal belongings, they will be bundled up and placed in the living area.
    • Cabins in Broken Bow is not responsible for your items. If we can not reach you we will contact the local authorities.
  10. Only persons with a valid charge card can make a reservation. That person must be present during the entire stay and have the understanding they are also responsible for any and all damages that occur during the reservation.
  11. Remaining Balance: At 9 am, 30 days (60 days for the 2024 Solar Eclipse) prior to arrival date your credit card will be charged the full reservation amount (minus your first night already charged).
    • Your directions and key code instructions will be sent to you via the email address you provided 1 week prior to arrival ( due to security reasons).
    • If for any reason, full payment is not processed by 30 days  (60 days for the 2024 Solar Eclipse) before arrival, the booking will be canceled with no refund.
  12. Reservations made 30 days (60 days for the 2024 Solar Eclipse) or less before your arrival must be paid in full and are non-refundable.
  13. Properties may be switched if the dates of stay are outside the paid in full due date.
    • There is a $25 reservation change fee to change properties.
    • Dates of stay may be shifted one time for no additional charge if the dates of stay are outside the paid in full due date.
    • Once a booking is within the balance due window (30days before arrival ), no refund is given for cancellation, pet cancellation, military discount, repeat guest discount, or service cancellation for any reason. In addition, lodging can not be switched, nor dates of stay moved. All reservation adjustments must be made before this time.
    • Note: If booking a massage, celebration package, flower service, or grocery service, once the appointment/order is confirmed, your credit card will be charged for the amount of the service/goods and is non-refundable for any reason.
  14. You must be 21 years old or 18 and active military to rent a cabin. We reserve the right to request a picture ID as age verification at our discretion.
  15. Rates shown for each cabin are with the understanding that occupancy will not be greater than the defined “maximum occupancy” per cabin on CabinsinBrokenBow.com — failure to comply will be an additional $100 per person/per night chargeand you will be asked to leave the property. These maximums are set for fire code and insurance purposes and can not be exceeded for any reason, no matter the age of the guest.
  16. Please remember that Cabins in Broken Bow is in a rural area. Service (including ours) may be spotty. If you are unable to reach us via call, please text or email us immediately.
  17. We are not liable for third party service or unforeseen amenity “downtime.” Examples of such services and amenities include, but are not limited to: water, electric, air conditioning, cable, satellite, wifi, internet, appliances, electronics, and hot tub. We, in good faith, attempt to make sure all advertised features are available during your stay, but as with any home, outages happen unexpectedly. We will address all concerns within our control as quickly as we are able upon notification through phone, text, and email but Cabins in Broken Bow can not guarantee usage of such items.
  18. Not coming to the cabin at your reservation time does not permit a refund.
  19. Leaving early does not constitute a refund.

Wifi is not guaranteed to work in Broken Bow/ Hochatown!

We work closely with the local internet provider to maintain service to the cabins that have Wifi and Cable. Service is not guaranteed. If you experience any interruptions during your stay please call or text (580)212-3555 between 9am-9pm. We will report it to the local provider for you and follow up with them to see if they were able to restore service. Refunds or compensation will not be given for Wifi issues because they are operated by a third party company.

Military Discount: 

The discount is 10% off the nightly rate (so before taxes, etc.) for active, retired, veterans, police/law enforcement and first responders, and those discharged for disability while serving.(Not avaliable when you book through a 3rd party booking site)  

How to get discount:

The reservation must be in the name of the person the discount would apply to, and they must be present during the stay. Please fill out all questions in the booking process form in regards to your military service or occupation.

Once we have received your booking, your discount will be processed manually and you will receive an updated email confirmation. Refunds can not be issued after this window expires. Finally, please include your reservation ID number to ensure proper application.

Fireplaces

Fireplaces that have been inspected and deemed safe by a professional may be used from October 15th to May 1st.

All indoor fireplaces will be shut down May 1st through October 15th.

Do not leave Fireplaces, Fire pits or Grills unattended

Cleaning Fees

The cost of cleaning depends on the cabin you choose to book. Extra cleaning can range from $50 to $375 if your cabin is not left in “tidy” condition. Examples of “tidy”:

  1. All trash (dirty diapers) put in outside trash cans and covered
  2. No pet hair found on furnishings.
  3. Dishes washed or soaking in hot soapy water.
  4. No cigarette butts or trash, including pet droppings found on cabin property.
  5. Furniture arranged in original location.
  6. All cabin amenities (games, toys, decorations etc.) put away neatly in their original condition.
  7. No food left on: grill, stove top, countertops oven or microwave.
  8. No spills or “accidents” left unattended.
  9. No bodily waste left for clean-up.

If you are staying more than 2 days and need your trash picked up it is your responsibility to reach out to us at (580)212-3555 Text/Call/or Email and we will com pick up your trash within 24 hrs of your request

Forgotten Items

  1. Items (non-perishable) found in the cabin after your departure are kept for one week. If we have not received a call or email from you about your items, they are donated to the local charities.
  2. We will mail your items back to you for the cost of total postage plus $30 handling fee.

Incidental Fee

  1. A mandatory incidental service fee of $40 is added to each reservation and covers: Donations to emergency services, Assists in maintaining the outdoor areas of the cabins, and “On Call” security services.
  2. Any damages beyond this description to cabin, cabin contents, or cabin property are not covered and guests are liable for damages.
  3. Accidental Damage Defined: An unexpected and undesirable event resulting in damage or harm to an item in the cabin or an unforeseen incident.
  4. In the case of an accidental event, please call and text 580-212-3555 to let the office know what happened. This MAY prevent an extra charge.

Taxes Explained

  • 9.25% includes:  State Sales 4.5% , County Sales 1.75%, & County Lodging 3%
  • 7% includes:  City of Hochatown Sales 3%, & City of Hochatown Lodging 4%

Cancellation Policy

  1. Cancelation request must be emailed to hello@cabinsinbrokenbow.com  (The email and name must match the reservation)
  2. NON-Refundable deposit amounts ($100 up to $500) vary with each property. These deposits are subtracted from your balance, if the booking is not canceled.
  3. Cancellations made after 9 am 30 days before arrival (effective 8-3-23) are charged the remaining balance and are non-refundable for any reason.
  4. Not coming to the cabin at your reservation time does not permit a refund.
  5. Leaving early does not constitute a refund.
  6. Weather is not a valid option for cancellation unless stated by the National Weather Service or State Government authorities.
  7. Cabins in Broken Bow reserves the right to cancel bookings due to non-payment.  The booking is required to be paid in full 30 days before you arrival.
  8. No refunds will be given for unused firewood.

Canine Policy

  1. All cabins are marked with Canine Friendly “yes” or “no”. ( Canines ONLY, No cats allowed)
  2. A $35-$70 nightly fee is added to your reservation when you inform us that you are bringing your pet(s) to our pet friendly cabins.
    • $35/night covers up to two dogs.
    • $70/night covers 3 dogs.
    • The maximum pet allowance is 3 per cabin.
  3. No Pet fee added to your reservation indicates the person making reservation did not notify Cabins in Broken Bow that a pet will be in the cabin and can incur a $100/day fine and possible eviction.
  4. Pets are not allowed at the cabins that do not allow pets. Pets on these properties will incur a $100/day fine and eviction.
  5. Pets are not allowed on the beds or furniture. A minimum cleaning/damage fee of $100 will be assessed for failure to comply with this policy.
  6. After a reservation is paid in full, pet fees are non-refundable even if no pet is present during stay.
  7. All dogs MUST be kenneled if left alone at the cabin.

Please, no...

  1. No adults on top bunks because of weight limits. Limit of 125 lbs. CIBB will not be liable for damages or bodily harm.
  2. No smoking inside. Failure to comply will be a $100/day charge.
  3. No tents or RV parking/hook-up on cabin property. Hooking up an RV will be assessed a $100 per night fee in addition to an over occupancy failure to comply fee of $100 per night/per person, if applicable.
  4. No glass, soaps, creams, oils, bubbles, lotions, food, rocks, toys are allowed in the hot tub. Failure to comply will be an additional $100.00 cleaning charge and an additional night charge at the cabin as cleaning these products takes multiple hours and cycling to completely remove from the hot tub system.
  5. No gun firing of any type (including BB guns and airsoft) is allowed on cabin property. Evidence of such will be reported to proper authorities, you will be charged for clean up/damages and you will be evicted.
  6. No fireworks on cabin property.
  7. No tossing wood into fireplaces. Please place wood on the grates gently, waiting for the flames to die down enough to do so safely. Throwing logs into the fireplaces creates impact fractures on the refractory panels that is dangerous and costs $300 each to replace. Any impact damage found upon checkout will be charged to the account on file.
  8. No pets other than canines (Not including ESA)
  9. No locking deadbolts. The keyless entry will keep the property secure upon checkout or while you are away. This will save you potentially hours waiting for a key to be taken to your location or a charge for a locksmith.

Damages

Includes: broken items, stained linens or furniture.

  1. All cabins are inspected before your arrival.
  2. It is your responsibility to do a follow up inspection at your reserved cabin within two hours of arrival time listed on the reservation and email us at hello@cabinsinbrokenbow.com to report any issues. If the matter is something needing more immediate attention, call and text us at 580-212-3555. This includes broken items, stained linens or furniture, appliances not working, etc. Reporting damage after your departure or after we contact you and charge you is not valid.When items are reported it is our policy to follow up by sending a CIBB team member to the cabin to verify and attempt to rectify the issue during your stay
  3. Any damages found at the cabin after your check-out will be charged to the credit card on file. The amount of this charge will be determined by estimated repair and/or replacement costs. Once final resolutions are made, receipts will be provided and any over charge of funds will be refunded by check and mailed to the address on file. If costs are above already charged amount, the remaining due will be assessed to the card on file.
  4. Stained or torn linens or furnishings will be charged at least $150 and can be up to the cost of equal replacement.
  5. Hot tub covers average $500+. Please do not jump, sit, stand or play on the hot tub covers, they will break. All hot tub covers are inspected prior to your arrival.

Intentional or malicious damage
Cabins in Broken Bow reserves the right to determine if damage to or loss of items in the cabin is due to negligence or malicious intent. If negligence or malicious intent is determined, guest will be charged accordingly for damages.

Environmental Concerns

Our area is abounding in natural beauty, a wonderful place to relax, explore, and enjoy the sights and sounds. Please remember, however, that we do share this incredible rural, forested area with local wildlife, fauna, and insects. We urge you to keep this in mind when booking with us and packing for your trip.

  1. Cabins in Broken Bow is not liable or responsible for wildlife and/or insects found on or in the rental properties or surrounding area.
  2. Cabins in Broken Bow is not liable or responsible for wildlife and/or insect bites, stings, or damages associated with bites or stings.
  3. Guest is responsible for using appropriate repellent, clothing, and medical supplies in case of allergies.

Liability

Hochatown and the surrounding area is rich with things to do on and off-site. We hope that you enjoy them to the fullest.

  1. Please note that by booking with us, you understand that Cabins in Broken Bow is not liable for any damage to persons or property occurring or arising on premises from any cause whatsoever.
  2. By booking, you agree to our policies and you understand and assume all risks associated with the activities in which you or your child or party member will engage at or near all Cabins in Broken Bow managed properties and will hold the owner and management company harmless from all claims.
